After each show we give all previous exhibitors the opportunity to re-book their current site. You can access our booking form here, complete and send. We can then advise what location would be suitable for your product.
When will I know which site I have been allocated?
After our Sales Manager, Cheryl Riddell, has completed the site allocation process, you will be sent a contract and proforma invoice with all details regarding your booked site. Payment will need to be made 14 days from invoice date, 7 days from invoice date, or immediately, depending on how close to CD Field Days the booking is made.
Do I receive an information pack?
Yes, in November each year we send out the majority of exhibitor forms by email. This is an email with deadlines for jobs to be completed and links to the forms on our website. Any exhibitors who have requested the pack to be posted will be sent this pack in January before the show.
Will I have power on my site?
All stands within the Agricultural and Rural Lifestyle Pavilions have power included in their site. If you have an outside site you will need to order this separately. You can check your contract or the power form in your information pack to see if this has been ordered. Otherwise email our administrator email@example.com or call 021 247 1266. A power lead will be supplied to the boundary of your site. Do not plug directly into lifeguards (big yellow boxes). If you use extension leads you must ensure they have been tested and labelled.
Staff entry tickets
When your site has been fully paid and completed the required paperwork, you will be sent your allocation of staff entry tickets. The number of tickets depends on the size of your site. We will send you an email to confirm your postal address, please respond to this email, otherwise your passes will only be available from CDF HQ. Additional passes can be purchased through our administrator prior to the event or purchased directly from CDF HQ during build up of the event.
What are the car/vehicle passes for?
You are permitted to drive to your site to load/unload at your site on show days between the hours of 6:30am to 8:00am and 5:00pm to 6:00pm. To do this you will need to display your vehicle pass in your windscreen, with your company details completed on this. You are also allowed to park within the boundaries of your site. The vehicle must stay within your site throughout the show hours. These passes are not for parking, as your exhibitor entry ticket will allow you into the exhibitor car park. However if these are clearly visible at the exhibitor car park, we can contact you if there are any issues with your vehicle.
Who can we get supplies from for our site?
When we send out the exhibitor forms by email or post we have listed our preferred suppliers with links to their company flyers.
How do I get my company listed in the official newspaper and website?
If you respond with your details from the information pack, your details will be loaded onto our website within one week of your response. If you have booked your site before the late January/early February cut-off, your details will automatically go into our official newspaper. We also have a visitor handbook which is handed out at visitor entrances free of charge. Your details will automatically be entered if booked before the late February deadline.
When can I start setting up my site?
We allow outside exhibitors to start setting up from the Friday the week before the show opens from 8:00am to 6:00pm. Inside pavilions will be from Monday the week of show and Marketplace and Cuisine marquees from Tuesday the week of show. All displays must be completed by 6:00pm of the Wednesday prior to the commencement of the field days.
Will you have security on site?
Yes, a professional security service operates onsite for the duration of the event, including pack in and pack out.
Is there an exhibitor lounge?
Yes, there is an area at the side of Headquarters where tea and coffee is available for exhibitors.
What time does the show open?
The show times are Thursday and Friday 9:00am to 4:30pm, Saturday 9:00am to 4:00pm.
Can I get courier deliveries to my site during the field days?
Yes, please ensure all deliveries have the address: CD Field Days, Exhibitor Gate 1, Kawakawa Rd, Feilding – Attention “HQ”. Please ensure you include your site/stand number and mobile phone number. They will be dropped off at HQ, then our delivery service will deliver to sites throughout the day.
Where can I park?
During pack in/out: You must park within your site, off the roadway to ensure cars can move freely onsite.
On Event Days: No cars, unless those which are part of the display, can park within your site. You must park within your assigned car park in the official Exhibitor Parking. All vehicles must be in one of the exhibitor car parks by 8.30am each day. You cannot leave your car on your site after this time.
No vehicles will be allowed to exit site until 5:00pm or until all members of the public are off site and it is deemed safe by event staff.
What happens if we have any issues during the show?
Please contact us at HQ as early as possible. You can go directly into HQ or give them a call on 0800 333 678.
When can I start dismantling my site?
The organisers request all participants not to dismantle their stand until close of the field days on the Saturday at 4.30pm (30 minutes after 4:00pm close). For safety reasons no vehicles, transporters are allowed into the static display area until 4.30pm Saturday for the dismantling or removal of displays. All Participants please take care when dismantling your stand.
When do we need to have our site cleared by after the show?
Inside sites need to be cleared by the Monday morning after the show, as the marquee is dismantled that day. All outside sites are to be returned to original condition at the end of the field days. Sites must be completely cleared by midday of the Wednesday following the show.
If not penalty fees will apply.
How can we get the same site or change our site next year?
Once we have had debrief meetings with Manfeild & contractors and made any changes necessary to our siteplan and areas we will relaunch July/August. This year’s exhibitors will be emailed and have the first opportunity to re-book their site in July/August for the following year. Any exhibitors who wish to change their site have second opportunity before we go out to the remainder of the database.
How do we offer feedback?
Our next newsletter after the show will include links to our exhibitor survey. The team at Central Districts Field days are constantly working to improve the organisation and running of our event and we appreciate you taking the time to give us suggestions to make future years even better. All feedback is valuable, and we do act on it wherever possible.
Do you have a delivery service?
Yes, we have a team of volunteers who assist visitors and exhibitors in transporting goods to their vehicles in the carparks. Please contact HQ to book this service. This is a free service and we may have delays at peak times.
Do you have forklifts available?
Yes, we have forklifts and drivers available during build up and after hours on show days. Please contact HQ to book this service. Please note there may be delays during peak times. This is a free service, however if your job is longer than 30 minutes, we suggest you bring your own machine.
How can I access my site by vehicle?
Please either enter by the Exhibitor Entrance Gate 1, off Kawakawa Rd, or via the Exhibitor Entrance off Rata Street (event days only) . Please ensure you have your vehicle pass clearly visible on your dashboard and passes for yourself and all passengers, to ensure traffic flows freely. All vehicles need to be stationery within the boundary of your site or removed to the exhibitor carpark by 8:30am on show days.
Is there good cellphone coverage on site?
Due to the high demand for both Telecom and Vodafone networks both service providers supply additional booster trailers on-site during CDF, if you have any issues with either network, please advise HQ and we will make further enquiries with the relevant service provider.
Can I hand out flyers to people passing my site or put on cars in carpark?
Flyers can only be handed out within the boundary of your site, elsewhere flyers will incur a fine and any additional costs towards the cleanup bill.
Can I camp on-site with my campervan?
There will be no camping or sleeping on-site. This is to protect exhibitors as well as ourselves. There is an allocated area for campervans off South Street entrance at Manfeild Park visitor entry. Please enquire with Steve from Manfeild on 06 323 7444.
Can I leave early on Saturday?
We are a three-day event, visitors pay to come and see all exhibitors advertised over the three days. We request all participants not to dismantle their stand until close of the Field Days on the Saturday at 4.30pm (30 minutes after 4:00pm close). For safety reasons no vehicles, transporters are allowed into the static display area until 4.30pm Saturday for the dismantling or removal of displays.
Can I use my microphone in the indoor pavilion, to attract visitors to my stand?
No microphones will be permitted. Due to the sites being enclosed within these pavilions, this would cause too much noise pollution and could deter visitors from these pavilions.
